Performs clerical and administrative support duties in the Fire Department. Handles confidential information. Formats and types letters, memos, and various types of correspondence. May initiate correspondence, reports, and other written items on own as required. Prepares contracts and Requests for Quotations prior to placing for bid. Answers phone and interacts with public to respond to inquiries and requests by giving information about policies, guidelines, procedures and status of departmental activities, or forwards to appropriate personnel for action. May notify personnel of work that needs immediate attention; receives and may verify life safety information and logs appropriately into data base. May serve as coordinator for legislative information and prepares basic narrative and statistical reports on a periodic basis. Schedules and arranges appointments and reservations for meetings, court dates, travel, facility usage, or other events. Publishes quarterly newsletter. Logs, tracks, and maintains records on department or unit activities. Reviews, checks, and processes invoices, requisitions, and other documents. Types and transcribes correspondence from dictation. Interacts with staff, elected officials, and general public in person or by phone in order to respond to inquiries, receive complaints, and resolve problems. Performs other duties as assigned.
Minimum Qualifications: High school diploma or equivalent and two to three years clerical experience which involves interacting with the public to disseminate information or, an appropriate combination of education, training, and experience. Valid driver’s license required. Must be able to type 45 wpm. Knowledge of general office procedures, policies, and practices. Skilled in record keeping, report preparation, filing methods and records management techniques. Ability to communicate effectively orally and in writing. Must be able to complete the required NIMS training within 6 months of hire.
Knowledge Skills and Abilities: Basic budgetary and accounting principles and practices. Standard business arithmetic, including percentages and decimals. Using tact, discretion, initiative, and independent judgment within established guidelines. Accurately proofreading copy. Hand dexterity to operate a personal computer and standard office equipment. Bending, stooping, and reaching. Occasional lifting and/or moving up to 10 pounds.
Typical Working Conditions: Normal office environment. Hours of work: 8:00 a.m. – 5:00 p.m., Monday thru Friday.
