Administrative Specialist II (Police)

Salary: $12.68 - $22.85/hr

Performs clerical and administrative support duties within the Police Department’s Investigative Unit.  Under general supervision, assists investigators with research, criminal histories, records and other duties relevant to their investigation.  Performs work of moderate difficulty involving typing, filing, entering and retrieving data into complex computer systems, and other paperwork as related to law enforcement procedures.  Compiles information and prepares reports; tracks and processes documents.  Composes correspondence, memos, forms, reports, contracts and other documents as needed.  Answers the telephone and interacts with the public to respond to inquiries and requests by providing information to customers regarding the Investigative Unit.  Schedules and arranges appointments and meetings or other events.  Interacts with staff and the general public in person or by telephone in order to respond to inquiries, making referrals and providing information to customers regarding the Investigative Unit.  Backs up Administrative Specialist III to maintain time and attendance records and process payroll.

Minimum QualificationsHigh school diploma or equivalent and two to three years clerical experience, preferably within a law enforcement agency, which involved interacting with the public to disseminate information, or an appropriate combination of education, training and experience which provides the required knowledge, skills and abilities to perform the essential functions of the job.  Must type 45 wpm; will be asked to take a typing test if selected for an interview.  Must complete required NIMS level training within first six months of hire.  

Knowledge Skills and Abilities:  Knowledge of correct English usage.  Must be competent in spelling, grammar, punctuation and vocabulary.  Requires knowledge of general office procedures, policies and practices, as well as basic knowledge of computer and other general office equipment.  Requires knowledge of applicable federal, state and local laws, rules and regulations.  Must have knowledge of basic business arithmetic.  Requires ability to establish and maintain effective working relationships.  Must be able to communicate effectively both orally and in writing.  Requires good organizational skills and attention to detail. 

Physical Abilities:  Hand dexterity to operate a personal computer and standard office equipment.  Bending, stooping and reaching.  Occasional lifting and/or moving up to 10 pounds.

Typical Working Conditions: Normal office environment.
